About Daily Stand-Up Meetings

Purpose: Quick daily sync-up to align on progress, discuss immediate priorities, and identify any blockers. This meeting focuses on transparency and rapid problem-solving to keep our project moving forward efficiently.

When: Every weekday at 9:00am (for example)

Where: Virtual (Or if face-to-face, specify location/meeting room)

Who: Core Project Team executing tasks

Duration: 15 minutes (strictly time-boxed)

What to Expect: Each team member will briefly answer three questions in 2 minutes (stopwatch to be used)

  1. What did I complete yesterday?
  2. What will I work on today?
  3. Are there any impediments or blockers?

Key Expectation: Please come prepared with your updates. We’ll capture any blockers during the meeting and resolve them immediately afterward, keeping the stand-up concise and focused. Meetings are mandatory. If an emergency, delegate or submit apologies for absence/lateness in advance along with a written update.

Agenda:

  1. Project Manager (PM)
  2. Quality Analyst (QA)
  3. Systems Analyst (SA)
  4. Technical Solutions Architect (TSA)
  5. Business Analyst (BA)
  6. Change Manager (CM)
  7. Impediment Review & Next Steps (2 min)

These project roles are general examples, substitute as applicable for your project. Each person has up to 2 minutes each. Adjust the time, depending on the number of persons. Remember in total, the meeting should not exceed 15 minutes.


Leading Daily Stand-Up Meetings

Main Goal: Facilitate a quick, focused sync-up, capture blockers, and commit to resolving them.

During the Meeting:

  1. Keep it to 15 Minutes: Be strict with the timebox.
  2. Listen for Blockers: The most important part!
    • As each team member gives their update, specifically listen for the update re  “Are there any impediments?” question.
    • If a blocker is raised, jot down: What’s the blocker? and Who is impacted?
    • Crucial: Verbally commit to following up: “Okay, I’ll take that blocker, [Team Member Name], and follow up with [person/department] right after the meeting.”
    • Politely interrupt any in-depth problem-solving: “Let’s take that discussion offline after the stand-up.”
  3. Confirm Order & Close: Ensure everyone gets a chance to speak. Quickly review the blockers noted.

After the Meeting:

  1. Action on Blockers: This is the top priority.
    • Follow up immediately with the relevant people to start resolving each blocker.
    • Update the impacted team member(s) as progress is made.
  2. Document: Briefly record the identified blockers and the assigned follow-up actions.
  3. Prepare for Tomorrow: The status of these blockers will be your update for the next stand-up.
